Total experience: 7+ yrs
Job description:
Key Skills Basic knowledge of telecommunications and wireless industry and language preferred.
Working knowledge of company policies and procedures.
Strong proficiency in MS Word, Excel, PowerPoint, Outlook, and other related software such as eTime and SAP.
A minimum of 7 years administrative experience in a professional environment.
CPS/CAP Certification highly preferred
Associates degree or equivalent preferred
Ability to interact with all levels of employees.
Excellent oral and written communication skills.
Strong organizational skills and follow-up skills.
The ability to handle multiple tasks simultaneously and balance competing priorities is key
General Summary:
This position is responsible for performing administrative duties for an executive management team member and his/her direct reports. Responsibilities may include screening calls, making travel and meeting arrangements, preparing reports and financial data, training, and customer relations. Requires strong computer and internet research skills. Requires flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
Principal Duties and Responsibilities:
Relieve management of administrative detail, all projects.
Serve as lead assistant within department to ensure consistency as it relates to policies/procedures, training, and orientation for new administrative staff.
Coordinate work flow, update and follow-up on delegated tasks to ensure progress of deadlines, and keep projects on schedule.
Work on assignments requiring considerable judgment and initiative. Understands implications of work and makes recommendations for solutions. Interact with vendors and customers as needed.
Take initiative in executive’s absence related to calendar schedules, signature approvals as well as telephone calls and email messages.
Handles a wide variety of complex and confidential situations and, wherever required, assure discreet handling of all business matters.
Compose correspondence/reports for own or executive’s signature.
Arrange essential mail in priority action folder for executive.
Check deadlines on incoming requests and put preliminary work in progress.
Process communication on own initiative or from executive’s dictation or notes.
Research, draft or abstract reports such as expense reports, time reporting, Statements of Work, and purchase requisitions.
Track SOW deliverables and prepare appropriate paperwork for signature and processing.
Prepare and process invoices for payment.
Handle all telephone and email inquiries within capacity, arrange callbacks and/or email message responses, providing backup materials as appropriate or necessary.
Arrange “callbacks” to protect executive’s time.
Route calls to appropriate area and participate in telephone survey/inquiries as needed.
Maintain calendar; Ascertain which events require executive’s presence.
Fix commitments to maximize executive’s time efficiency; Allow decision/desk time when possible.
When executive chairs a meeting, prepare agenda in advance, arrange meeting facilities, record meeting minutes, and identify action items.
Prepare presentation materials for board meetings, customer and/or vendor meetings.
Arrange travel through internal resources or outside agents; Prepare itinerary, trip file and supplies; Complete expense reports after trip.
Maintain administrative procedures manual to ensure consistent performance of routines.
Maintain paper and automated filing systems for all departmental documents.
Routinely order department supplies, hardware and software purchases.
Provide updates for mail/telephone/email directories and organization charts.
Process paperwork and security authorizations for new employees/contractors and administer the company’s process for ending their employment/contract.
Participate in special projects as required.
